Competition Manager

Responsible for the planning, coordination and delivery of XENOM competitions across the event lifecycle. Working closely with the Head of Sport, translate competition requirements into an executable competition plan, taking ownership of athlete communication and support, registration, documentation, field-of-play readiness and coordinating meetings across all competition departments.

• —Oversee athlete registration and support, including managing athlete inquiries, swaps and transfers, while providing clear and timely communication and ensuring athlete numbers, divisions and categories are accurately reflected in the competition schedule
• —Develop and review competition documentation to prepare game-day staff for competition execution
• —Contribute to the ongoing development and maintenance of the XENOM Rulebook, incorporating competition learnings and updates as the series continues to evolve
• —Prepare and manage athlete-facing communications, competition information and briefing materials to ensure athletes receive clear, accurate and timely information throughout the competition lifecycle
• —Coordinate pre-event meetings with competition department leads to align on operational requirements, timelines and responsibilities
• —Work with the Head Judge to support judge recruitment, assignments and scheduling, while coordinating judging procedures, competition flow and movement standards
• —Support onsite competition team meetings and dress rehearsals
• —Oversee seamless athlete flow through registration, warm-up, start tunnel and competition arenas
• —Manage onsite athlete support, addressing athlete inquiries and concerns while coordinating the appeals process
• —Monitor competition schedules and heat timing across all competition arenas, addressing issues that could impact competition execution
• —Verify competition arenas are operationally ready and meet established safety requirements, including A/V, personnel and equipment needs
• —Coordinate run course logistics leading up to the competition and oversee all requirements through completion
• —Verify run course execution supports consistency and fairness for all athletes
• —Serve as the primary point of coordination across competition departments on-site, including judging, athlete control, gear, scoring, timing and athlete support
• —Communicate schedule, procedure and operational changes to appropriate department leads when they impact competition execution
• —Coordinate with competition department leads to meet staffing, equipment and operational requirements
• —Liaise with timing and scoring teams to support execution of the competition schedule
• —Maintain a working understanding of the Elite Performance Index (EPI) and its application across XENOM competition
• —Manage the judge camera system and review process to support fair and consistent competition decisions
• —Work with scoring and timing teams to resolve operational issues, verify competition results and confirm final standings for the podium ceremony
• —Participate in post-competition debriefs and after-action reviews with the Head of Sport and competition department leads
• —Translate key learnings into actionable improvements for future XENOM competitions
• —Develop and communicate recommendations for XENOM software and technology improvements that enhance the flow of competition

• —Experience in competition management, sports operations or large-scale live sporting events, with a strong understanding of competition scheduling, athlete flow and field-of-play execution
• —Experience coordinating multiple competition departments and managing changing priorities in a fast-paced live environment
• —Strong organizational and communication skills, with the ability to work effectively with athletes, staff, contractors and department leads
• —Willingness to travel domestically and internationally and work extended hours during competition delivery
• —5+ years of experience within functional fitness, CrossFit or other multi-event fitness competitions, particularly at large-scale events with high athlete participation
• —Experience managing competition timing, scoring and athlete management systems across multiple arenas operating simultaneously
• —Strong understanding of event flow, judging procedures, movement standards and competition rules, and how they contribute to fair and consistent competition execution
